Terms & Conditions
These Terms & Conditions govern participation in Green Border Gravel, a 300 km self-supported gravel cycling event in Slovenia (“the Event”). By registering for the Event you enter into the Rider Entry Agreement with the Organizer and agree to these Terms, the Event Rules, and the Liability Waiver.
1. The Event
Green Border Gravel is an unsupported, long-distance gravel challenge on open roads and forest tracks. The Organizer provides the official route (GPX), timing via smartphone tracking, and a start/finish area. Everything else is the Rider’s responsibility.
2. Self-Supported Format
No feed zones, no mechanical service, no personal support cars.
Riders may only use services available to everyone (shops, petrol stations, public water, etc.).
The route is not marked – navigation is via the official GPX.
3. Rider Eligibility & Health
Riders must be 18+ on the day of the Event.
Riders must be in good physical and mental health and prepared for a demanding 300 km ride.
The Organizer may require a doctor-signed health certificate confirming fitness to participate in endurance cycling.
4. Rider Obligations
By entering the Event, the Rider agrees to:
Follow the official GPX route without shortcuts.
Keep MapProgress smartphone tracking active for the entire ride.
Obey all Slovenian traffic laws and ride safely on open roads.
Carry and use mandatory equipment (see Race Info & Event Rules).
Respect nature, local residents, private property, and other riders.
Inform the Organizer immediately if withdrawing from the Event.
The Rider is fully responsible for their equipment, bike condition, and battery management for phone, GPS and lights.
5. Acknowledgement of Risk & Liability
Participation is entirely at the Rider’s own risk. Gravel riding in remote border forests involves significant dangers including accidents, injury, equipment failure, extreme weather, wildlife, fatigue and limited access to emergency services.
Except in cases of gross negligence or intentional misconduct, the Organizer, Officials, volunteers and partners are not liable for any injury, death, loss or damage suffered by the Rider, nor for indirect or consequential loss (e.g. travel costs, loss of earnings, etc.).
The Rider agrees to indemnify and hold harmless the Organizer from claims and costs arising from their actions, breach of rules, or damage caused to third parties.
6. Code of Conduct
Riders must:
Ride in a way that does not endanger themselves or others.
Follow instructions from the Event Director and Officials.
Avoid behaviour that harms the reputation of the Event or Organizer (including public attacks on social media instead of using the official dispute process).
Leave no trace – carry out all litter.
The Organizer may suspend or expel Riders who breach these principles.
7. Changes to Format, Route & Schedule
The Organizer may modify the route, distance, start time or schedule if required for safety, legal, or practical reasons. Such changes do not entitle Riders to a refund unless explicitly stated in the Refund & Cancellation Policy.
8. Disputes
All disputes, issues or complaints regarding participation must first be referred to the Event Director, whose decisions are final for the purposes of the Event.
9. Governing Law
These Terms are governed by Slovenian law. Any disputes shall be subject to the non-exclusive jurisdiction of the courts of Slovenia.

Refund & Cancellation Policy
1. Rider Withdrawal
If you can no longer participate:
Up to 1 July 2026: you may request an 80% refund of the Entry Fee.
After 1 July 2026: the Entry Fee is non-refundable and non-transferable.
Refunds are processed to the original payment method within approx. 7–10 business days.
2. Transfers
Entries cannot be transferred to another person or to a future edition, unless the Organizer explicitly states otherwise in writing.
3. Event Cancellation or Postponement
If the Event must be cancelled or postponed due to force majeure (e.g. severe weather, natural disaster, government restrictions, major safety concerns):
The Organizer will communicate the options (partial refund and/or deferral) as soon as reasonably possible.
The Organizer is not responsible for travel, accommodation, or other indirect costs.
If the date is changed and you cannot attend the new date, you may contact the Organizer within 7 days of the announcement to discuss available options under this policy.
4. Changes to Route or Format
The Organizer may change the route, distance or format (for example due to forestry work, road closures, or safety reasons). Such changes alone do not entitle Riders to a refund.
5. No-show
If a Rider fails to start the Event or arrives late, no refund will be made.

Green Border Gravel (“the Event”, “we”, “us”) is committed to protecting your personal data and respecting your privacy. This Privacy Policy explains what data we collect, why we collect it, how it is stored, and your rights under the General Data Protection Regulation (GDPR).

Rider information (bike type, allergies/dietary notes, optional social handles)

1.2 Payment Data
Payments are processed securely by Stripe, our payment provider.
We do not store or have access to your full card details.
1.3 Live Tracking Data
If applicable, we collect:
GPS location
Movement time
Speed
Tracking timestamps
Tracking is provided via MapProgress or a similar service.
1.4 Website Data
Automatically collected through cookies or analytics:
IP address
Browser/device information
Pages visited
Referrer
Session duration
1.5 Media (Photos & Video)
During the Event, photographers and videographers may capture images in which you appear.
2. How We Use Your Data
We use your data to:

Manage bag storage and on-site logistics

Email the rider briefing, GPX files, and safety instructions

We do not sell or rent your data to third parties.
3. Legal Basis for Processing
We process your data under GDPR on the basis of:

For newsletters or optional communications.
You may withdraw consent at any time.
4. Data Retention
We keep data only as long as necessary:
Registration & contact data: up to 3 years
Tracking data: archived as documentation
Financial records: retained as required by Slovenian tax law
Media: indefinitely, unless removal is requested and feasible
You can request deletion of your data after the Event unless we are legally required to keep it.
5. Sharing Your Data
We may share limited data with:
Stripe (payments)
MapProgress (tracking)
Zoho Mail (email communications)
Squarespace (website hosting + forms)
Photographers contracted for the Event
All third parties follow GDPR guidelines.
6. Media & Image Use
By participating, you acknowledge that images and video recorded during the Event may include you.
We may use media for:
Event documentation
Social media posts
Website content
Press coverage
Future event promotion
If you prefer not to appear in photos, contact us before the Event and we will make reasonable efforts to respect your request.
7. Your Rights (GDPR)

Event Disclaimer
Participation in Green Border Gravel is voluntary and undertaken entirely at your own risk. By registering, you acknowledge that gravel cycling in remote areas involves inherent risks, including but not limited to accidents, equipment failure, wildlife encounters, fatigue, illness, extreme weather, navigation errors, and limited access to emergency services.
The Organizer does not guarantee the accuracy or functionality of GPS files, digital maps, or tracking systems. Terrain, road conditions, and weather may change at any time and may not be reflected in pre-event materials.
Nothing on this website constitutes a safety guarantee. Riders are solely responsible for:
Their own safety and risk assessment
Navigating the route using the GPX file and backup tools
Maintaining functional equipment, lights, batteries, and power sources
Adjusting speed and behavior to road conditions and traffic laws
The Organizer is not liable for injuries, losses, damages, or incidents except in cases of gross negligence or intentional misconduct.
