Green Border Gravel (“the Event”, “we”, “us”) is committed to protecting your personal data and respecting your privacy. This Privacy Policy explains what data we collect, why we collect it, how it is stored, and your rights under the General Data Protection Regulation (GDPR).

1. Data We Collect

When you register for the Event or interact with our website, we may collect:


1.1 Registration Data

  • Name

  • Email address

  • Phone number

  • Country of residence

  • Emergency contact name + phone

  • Rider information (bike type, allergies/dietary notes, optional social handles)

  • Add-on selections (e.g. bag storage)


1.2 Payment Data

Payments are processed securely by Stripe, our payment provider.
We do not store or have access to your full card details.


1.3 Live Tracking Data

If applicable, we collect:

  • GPS location

  • Movement time

  • Speed

  • Tracking timestamps

Tracking is provided via MapProgress or a similar service.


1.4 Website Data

Automatically collected through cookies or analytics:

  • IP address

  • Browser/device information

  • Pages visited

  • Referrer

  • Session duration


1.5 Media (Photos & Video)

During the Event, photographers and videographers may capture images in which you appear.


2. How We Use Your Data

We use your data to:

Event Operation

  • Process registrations and payments

  • Verify rider identity

  • Provide tracking for safety

  • Contact your emergency contact if necessary

  • Manage bag storage and on-site logistics

Communication

  • Send important pre-event updates

  • Email the rider briefing, GPX files, and safety instructions

  • Contact you regarding changes, delays, or urgent notices

Results & Documentation

  • Publish non-sensitive results (name + finish time)

  • Archive event data for historical reference and improvement

Media & Promotion

  • Publish event photos and videos

  • Create promotional material for future editions

  • Share selected content on website and social media

We do not sell or rent your data to third parties.


3. Legal Basis for Processing

We process your data under GDPR on the basis of:

Contract

To deliver the Event you register for.

Legitimate Interest

  • Ensuring safety

  • Providing tracking

  • Publishing results

  • Preventing fraud

Consent

For newsletters or optional communications.
You may withdraw consent at any time.


4. Data Retention

We keep data only as long as necessary:

  • Registration & contact data: up to 3 years

  • Tracking data: archived as documentation

  • Financial records: retained as required by Slovenian tax law

  • Media: indefinitely, unless removal is requested and feasible

You can request deletion of your data after the Event unless we are legally required to keep it.


5. Sharing Your Data

We may share limited data with:

  • Stripe (payments)

  • MapProgress (tracking)

  • Zoho Mail (email communications)

  • Squarespace (website hosting + forms)

  • Photographers contracted for the Event

All third parties follow GDPR guidelines.


6. Media & Image Use

By participating, you acknowledge that images and video recorded during the Event may include you.

We may use media for:

  • Event documentation

  • Social media posts

  • Website content

  • Press coverage

  • Future event promotion

If you prefer not to appear in photos, contact us before the Event and we will make reasonable efforts to respect your request.

You have the right to:
